    1. PURPOSE

    To clarify conditions and terms under which concessions are granted to SAA employees

    and pensioners on vacation travel. The use of such concessions indicates acceptance

    of the contents of this policy, making it binding for all purposes.

    2. SCOPE

    The scope of this policy is applicable to all SAA employees and pensioners (excluding

    active and retired Flight Deck Crew).

    3. DEFINITIONS

    The following definitions shall apply within this policy. References to the singular shall

    include the plural and vice versa and the definitions applied within the policy shall apply

    specifically for purposes of this policy and procedures directly related to this policy.

    3.1 South African Airways (SAA)

    A company duly incorporated in accordance to the laws of South Africa and with

    company registration number 97/22444/07.

    3.2 Permanent Management Employee

    A person who has been directly employed in a management position to the

    services of SAA, and who has been duly appointed in a permanent and personal

    capacity to render services to SAA in terms of an official appointment letter.

    3.3 Permanent Non- Management Employee

    A person who has been directly employed in the services of SAA for an

    uninterrupted period of six months and who has been duly appointed in a

    permanent and personal capacity to render services to SAA in terms of an official

    appointment letter.

    3.4 SAA Contract Worker

    A person contracted directly by SAA in a personal capacity, and renders services

    to and for the benefit of SAA, for an uninterrupted period of more than six

    months. Persons who are not directly employed by SAA are excluded.

    3.5 SAA Pensioner

    A person formally defined as a Permanent Employee, who is described by SAAs

    Human Resources department, and terms of employment as a pensioner. This

    definition shall expressly exclude employees who go into retirement as a

    consequence of organisational restructuring, unless alternatively agreed to as

    part of such restructuring activity.

    3.6 Spouse

    A wife or husband to whom the South African Airways Permanent Employee,

    Contract Worker or Pensioner is legally married (including Common Law and

    Civil Partner. The onus rests on the employee to prove adherence to qualification

    criteria in terms of this definition, including the provision of marriage certificates

    and affidavits for Common-Law marriages. It should be noted that SAA only

    recognises one spouse for purposes of this policy application.

    3.7 Children of SAA Employee and/or Spouse

    Any child (below the age of 21) of the Permanent Employee, Contract Worker or

    Pensioner and their spouse, either by means of birth, marriage or adoption (or

    proven to be in the process of adoption). The age in terms of this definition may

    be waived in the case where it can be proven that the child is physically or

    mentally handicapped or disabled, and by virtue of this condition is fully

    dependent on them.

    Dependent children still studying or financially dependant, not older than 26

    years, shall be eligible for travel once proof has been provided.

    3.8 Registered Travel Companion

    Any person that the SAA Permanent single employee nominates for use of

    concessions. An SAA Permanent Employee may only have one Travel

    Companion registered at any given time and may change the registered name

    once during the calendar year, in the month of January.

    3.9 Registered Travel Companion Children

    Any child of the Travel Companion by birth, adoption (or proven to be in the

    process of adoption) who is below the age of 21 years (up to a maximum of three

    children). The age limitation in terms of this definition may be waived in the case

    where proof is provided that the child is physically or mentally handicapped or

    disabled and by virtue of this condition is fully dependent on them.

    3.10 Family and Friends

    Registered non-dependant family and friends of the SAA Permanent Employee.

    3.11 ID 00

    A ticket to which a 100% discount has been applied to the full base fare and is

    subject to off-load in terms of the SAA priority listing. This ticket type is capable

    of being tentatively booked for a particular flight, subject to seat availability within

    pre-determined classes.

    3.12 ID 90

    A ticket to which a 90% discount has been applied to the full base fare and is

    subject to off-load in terms of the SAA priority listing. This ticket type is only

    provided on a standby-basis.

    3.13 ID 75

    A ticket to which a 75% discount has been applied to the full base fare and is

    subject to off-load in terms of the SAA priority listing. This ticket type is only

    provided on a standby-basis.

    3.14 Priority Listing for Loading and Off-loading

    A load order is given according to the type of travel, employment grade and fare

    basis type, which determines the order in which passengers will be loaded on

    departure, or offloaded in the event where the flight is full.

    3.15 Services of SAA

    A flight operated by SAA under the SAA carrier code.

    3.16 Concessions

    A discretionary discount on flight segments, bookable subject to certain

    conditions; including space availability and restriction of use on certain routes or

    during certain times, provided by SAA to persons meeting qualifying criteria.

    Concessions are granted on a calendar year basis and any concessions not

    used by 31St December of that year, will be forfeited.

    4. EXPRESS PROVISIONS PERTAINING TO TRAVEL CONCESSIONS

    The below conditions are deemed material to the granting of concessions and failure to

    adhere to these prescriptions will result in temporary, or permanent, withdrawal of the

    concessions granted. The full extent of disciplinary action, including dismissal may also

    be applicable.

    4.1 Concessions are at the discretion of SAA

    Concessions granted in terms of this policy are granted solely at the discretion of

    SAA and in no way constitute a condition of employment or a benefit conferred in

    lieu of any counter-performance on the part of the recipient, apart from the

    qualification conditions as set out in this policy. SAA reserves the right to remove,

    add, change or in any other manner alter the provision of concessions as defined in

    this document at its sole discretion.

    4.2 Embargos

    The recipient of concessions acknowledges and accepts that SAA may permanently

    or temporarily suspend the use of, or granting of concessions on certain routes, or

    during certain times. Reasons for such changes may include passenger demand,

    capacity constraints, withdrawal from routes, or the transfer of routes by SAA to

    another carrier. SAA is under no obligation to provide a reason for the temporary or

    permanent suspension of concessions on all, or some, of its routes. The use of

    travel facilities is always subordinate to the requirements of revenue passengers.

    4.3 Transfer or Sale of Concessions

    The recipient of concessions acknowledges and accepts that concessions are

    granted only to individuals defined within this policy and under the clear

    understanding that, under no circumstances whatsoever (including for purposes of

    recouping tax payments), may a defined recipient of concessions sell a concession

    to any person.

    For purposes of this policy the term sell shall be deemed to include any form of

    value exchange, including barter-trades or any other form of personal gain. The

    recipient of concessions is hereby informed that contravention of this condition would

    result in disciplinary action to the fullest extent, both in terms of SAAs disciplinary

    procedures as well as applicable national laws (including laws pertaining to personal

    income tax evasion).

    4.4 Use of Concessions for income-generating activities

    The recipient of concessions acknowledges and accepts that the use of concessions

    for purposes of conducting trade is expressly prohibited. This restriction applies both

    to the direct recipient (e.g. Permanent Employee, Contract Worker, Pensioner) and

    any indirect recipients (e.g. Spouse, Family, and Registered Companions, etc).

    4.5 Responsibility for indirect concession recipients

    The direct recipient of concessions (deemed the SAA Permanent Employee,

    Contract Worker or Pensioner) hereby acknowledges and accepts full responsibility

    for any indirect recipients use of concessions (deemed any person registered as a

    beneficiary for travel purposes). The SAA Employee, Contract Worker or Pensioner

    will be held liable for any breach of this policy if committed by an indirect recipient.

    4.6 Tax Onus

    The employee acknowledges that on international travel, where a booking is

    confirmed prior to 72 hours before departure, a fringe benefits tax obligation exists

    on the part of the employee according to the South African Income Tax Act

    Schedule seven.

    4.7 Use of Concessions

    The recipient of concessions acknowledges and accepts that the use of concessions

    is for Vacation Travel and as such, may not be used by employees while booked of

    ill, suspended from work or while absent for any other reason (excluding approved

    annual leave and family responsibility leave) except with the advance approval of the

    Company.

    In the case of illness, based on a medical report justifying such travel e.g. referral to

    attend a specialist appointment, the company will require proof of the referral and

    attendance and the Company will have the sole discretion to decide whether or not

    to grant the concession during absence.

    An employee that travels on a flight knowing that his/her return ticket is not

    confirmed must inform his/her supervisor/manager of this prior to the

    commencement of the flight, and must ensure that he/she has approval to be absent

    from work, should they not be able to return to work as a result of not being loaded.

    An employee who breaches the above will be subject to disciplinary action, which

    may include dismissal.

    4.8 Misrepresentation

    The direct recipient of concessions acknowledges and accepts that any form of

    intentional misrepresentation associated with the registration of concession

    recipients, or the use of concessions, will be deemed in a serious light and

    addressed to the fullest extent possible under company disciplinary policies and

    procedures.

    4.9 Incitement to breach policy

    The direct recipient of concessions acknowledges and accepts that any action on

    his/her part that has the effect of inciting another employee to breach any provision

    this policy, including loading order at check-in, will be deemed a dishonest action

    and in breach of policy.

    5. GENERAL RULES AND CONDITIONS

    5.1 Booking and ticketing online through iFly

    The employee is responsible for all bookings made for themselves and registered

    beneficiaries. It is furthermore acknowledged and accepted that all conditions of the

    policy have been accepted when booking online.

    5.2 Booking and ticketing in person

    The employee is responsible for all bookings made for beneficiaries and themselves.

    Employees must present their own airline permit when making a booking or issuing a

    ticket. It is also acknowledged and accepted that all conditions of the policy have

    been accepted when making use of these concessions.

    5.3 Check-in

    Employees must present their own airline permit and identity document or passport

    for all travel and on check-in. Beneficiaries must carry positive identification at all

    times, and a copy of a birth certificate for young children.

    It is furthermore acknowledged and accepted that if the traveller cannot present

    acceptable identification that SAA reserves the right to not accept them for travel.

    Persons with fraudulent or false documents will be handed over to authorities for

    action allowable under general law.

    5.4 Offloading or non acceptance on flight

    It must be clearly understood that no concession represents an entitlement to a

    confirmed seat (for example, an ID00 does not guarantee a firm booking in the same

    manner as a full fare ticket does).

    The use of concessionary travel facilities is always subordinate to the requirements

    of revenue passengers.

    SAA may at any time downgrade or offload a rebate passenger, if the space is

    required for a revenue passenger, or a person with a better claim to the seat.

    Offloading and down grading must always follow the order shown in Priority code

    listing and be implemented with utmost sensitivity and courtesy by airport staff.

    In cases where both employees have the same priority code, then the date of

    employment will determine the employee with the higher priority. The concession

    holder must immediately and graciously comply with these requests.

    SAA will not be liable for any reimbursement for incidental expenditure as a result of

    flight cancellation or delay.

    An employee who has been booked for a flight on an ID00 concession and is

    offloaded on his return journey (away from country where they are based) may be

    treated in the same manner as a passenger who is offloaded from a delayed or

    cancelled flight.

    5.5 Ticketable routings and rebated fare calculations

    On international travel rebated fares are determined by the highest fare between any

    two points on the journey. Travel may not be through the country of origin at any

    point. If a point is used to travel through to reach a specific destination, the

    passenger may stay over in one direction only. An exception can be made if

    accompanying a staff or crew member that is scheduled to travel the exact same

    routing for duty/ positioning purposes.

    On domestic travel rebated fares are charged on a sector fare basis and travel may

    not be through the point of origin at any time during the journey. Travel may not go

    through the same city more than once, unless used as a connection point.

    Rebated fares are charged from fares that are specifically calculated by pricing for

    the Airlines own travel policy. Airport /Country applicable taxes are to be paid by the

    traveller and may change according to currency fluctuations or exception

    agreements related to specific ID travel or specific groups of ID travellers.

    5.6 Upgrading request for permanent non-management SAA employees

    The request for one upgrade per calendar year to business class, on departure

    subject to space available, is allocated to a single or return journey. If the passenger

    is upgraded on any sector the upgrade request will be considered used.

    If an employee was not upgraded on all sectors, the upgrade will be reinstated for

    use in the same calendar year, on presentation of economy boarding passes.

    5.7 Upgrading request for permanent non-management SAA employees, with

    Long Service

    In recognition of the attainment of specified long service milestones, an additional

    upgrade, on departure subject to space available, will be granted to employees in the

    year of their 10 years service milestone, and for every 10 year interval thereafter

    continuously completed, i.e. 10 year, 20 year, 30 year, etc). The upgrade must be

    requested prior to ticketing and endorsed on the ticket/s.

    5.8 Unaccompanied minors (5 -12 years)

    Unaccompanied minors may only travel if their flights have been confirmed and

    acceptance as an unaccompanied minor is confirmed in the booking.

    Unaccompanied minors may not travel on standby or on waitlisted flights.

    Airports should do everything possible not to offload unaccompanied minors that are

    travelling from points other than the point of origin. Children under 5 years old may

    not travel as unaccompanied minors.

    5.9 Baggage

    All persons travelling on concessionary tickets must strictly comply with the normal

    baggage restrictions. Full excess baggage rates will apply if the baggage restrictions

    are exceeded and will only be applicable if the airline can accommodate the extra

    weight.

    5.10 Refunds

    An administration fee, determined by the Company, may be levied when processing

    refunds. All refund processes will comply with company rules and may take up to

    one month. Reinstatement of concessions will only be done on proof of approved

    refund documentation, where all sectors were not utilised, and in the same year.

    5.11 Travel documents, Visa and Health requirements

    The SAA Permanent Employee, Contract Worker or Pensioner is fully responsible for

    the arrangement and payment of all necessary valid passports, visas and health

    certificates/inoculations needed for their own or their beneficiaries travel.

    Travellers should check validity of all these documents and ensure that all are

    finalised before their date of travel. SAA will not be held liable for these costs, but if

    the airline is presented with charges, the airline will reserve the right to follow

    procedures to claim the costs from the Employee, Contract Worker or Pensioner.

    5.12 Infants (children under 2 years old)

    Infants must always be booked for travel with an adult. A maximum of one infant is

    allowed per any one adult, i.e. if two infants on a booking, then two adults must

    travel. Infants travelling on SAA must hold a valid air ticket and use their own

    available concession, which is issued at ten percent of the applicable adult base

    fare. Infants are not entitled to a seat on the aircraft and must be seated with the

    adult, unless a bassinet has been booked and confirmed. Bassinets are allocated

    according to availability on the flight and the infant weight and age.

    5.13 Medical / Disabled passenger requirements

    Persons with disabilities must request medical services (wheelchairs etc) at the time

    of flight confirmation and ensure that all details are confirmed before departure.

    Travellers with medical requirements must ensure they have sufficient medication

    and approval from their Doctor that they are medically fit to travel. If oxygen or a

    medical sister is required, these costs are for the passenger. Medicals can only

    confirm these services on confirmable bookings.

    5.14 Travel Insurance

    All airline passengers (including Permanent Employees, Contract Staff and

    Pensioners) are advised to take out full medical travel insurance that provides cover

    for their entire journey, and all unforeseen expenditure, from their time of departure

    from their origin until their time of arrival at the end of their journey. Insurance on

    valuables or other personal effects is also advisable.

    5.15 3 Day / 72 hour prior clarification

    The booking request time referred to as the 72 hours or 3 days prior confirmation

    period is calculated as follows; the booking agent counts back an exact three days

    from the date of departure. If three days prior to departure falls on a weekend or

    public holiday, then the date is moved back to the last working day prior to this date.

    e. g. flight on a Wednesday three days prior is Sunday, but as it is not a working

    day, the last working day prior is the Friday. The return, or other flight sectors,

    should be confirmed at the same time. Confirmation is always subject to space

    available and offloading/down grading at time of departure.

    6. EXCEPTIONAL SITUATIONS

    6.1 Demise of a legally married SAA Permanent Employee

    The legal spouse and dependant children of a married SAA Permanent Employee

    will retain their travel concessions as contained in this policy until the end of the

    concession year of the permanent employees demise.

    From 1st January of the following year pensioner benefits will be applicable on

    condition that the deceased employee had completed 10 years of continuous service

    with SAA.

    6.2 Demise of a SAA Permanent Employee with Common-Law Spouse/Civil

    Partner

    The common-law spouse and dependant children of a married SAA Permanent

    Employee will retain their travel concessions as contained in this policy until the end

    of the concession year of the permanent employees death.

    From 1st January of the following year pensioner benefits will be applicable on

    condition that the deceased employee had completed 10 years of continuous service

    with SAA.

    6.3 Demise of SAA Contract worker

    The legal spouse and dependant childrens use of travel concessions will cease from

    date of death of a SAA Contract Worker.

    6.4 Travel concessions for Registered Travel Companions and their

    Children/Family

    The use of travel concessions by Registered Travel Companions will cease from

    date of death of the employee or contract worker, and at the end of the calendar year

    for Family.

    6.5 Re-marriage of the legal widow/widower of the late SAA Permanent Employee

    If the widow/widower re-marries, he/she will forfeit their use of all travel concessions

    from the date of re-marriage. Failure to disclose this information is an offence.

    Children from the marriage to the SAA Permanent Employee will retain their travel

    concessions if they qualify as Dependant Children.

    6.6 Retirement of SAA Permanent Employee

    Upon retirement the permanent employees travel concessions will remain

    unchanged until the end of that calendar year. Thereafter concessions will be

    granted as per the prescribed conditions and concessions allocated to the Pensioner

    group in this policy.

    Qualification for pensioner concessions will be determined by the SAA Human

    Resources policy relating to years of service, prescribed pensioner age and all

    governing rules.

    6.7 Resignation of SAA Permanent Employee

    Upon resignation from the company the employees travel benefit shall cease

    effective mid-night from that date of last day in service (termination date).

    Resigned employees should hold a letter from their Human Resources office stating

    their last official date of service. All unused concession tickets must be returned on

    the last day in service for a refund. SAA reserves the right to charge the cost of a full

    fare on the relevant routing/s if the employee fails to comply with this provision.

    6.8 Dismissal of SAA Permanent Employee

    On dismissal from the company the permanent employees travel concessions will

    cease immediately. All unused concession tickets must be returned by last date in

    service for refund and may not be used for any further travel. SAA reserves the right

    to charge the cost of a full fare on the relevant routing/s if the employee fails to

    comply with this provision.

    6.9 Retrenchment of SAA Permanent Employee

    Upon retrenchment from the company the permanent employees travel concessions

    will cease immediately, unless extended by SAA. Retrenched employees should

    hold a letter from their Human Resources office stating the last date in service and

    their retrenchment travel extension date, on the services of SAA. All unused

    concession tickets must be returned by this date for refund and may not be used for

    any further travel.

    6.10 Blacklisting of employee profile.

    In the event that an employees travel must be blacklisted as the result of disciplinary

    action, the related Human Resources office will be responsible for placing the

    blacklisting indicator and applicable period on the employees profile on receipt of the

    outcome from an internal hearing and related ruling.

    6.11 Inactivation of registered beneficiary type.

    If disciplinary action results in removal of travel concessions, the Industry Travel

    Administrator will place the restriction indicator against the beneficiary name. The

    restriction will not allow the beneficiary to travel on any SAA employee profile.

    6.12 Dress Code

    The dress code is smart casual for Rebate Travellers, who must be neat, clean, well

    groomed and presentable at all times; in a manner that upholds the image of SAA.

    South African Airways reserves the right not to accept any rebate passenger for

    travel who does not conform to an acceptable and presentable dress code.

    SECTION C (REGISTRATION AND BOOKING PROCESS)

    1. REGISTRATION PROCEDURES

    1.1 Employee, registered spouse and children

    Human Resources are responsible for the acceptance and loading of the following

    beneficiaries types:

    Legal spouse against a certified clear copy of the marriage certificate and ID or

    passport

    Civil partner against a certified clear copy of the marriage certificate and ID or

    passport

    Dependants against unabridged birth certificates or certified clear copies of ID and

    marriage certificate, if required,

    CommonLaw spouse and their dependants against an official SAA affidavit and

    clear copies of their ID or passport, Student or non working dependants older than

    the dependant qualifying age, but under 26 years against a letter from the Institution,

    in each year of study, or an affidavit stating full dependence on employee/spouse, on

    an annual calendar year basis,

    Medically dependant children to be loaded against a medical certificate stating their

    condition and declaring that they will remain fully dependant on the parent, with a

    clear copy of their ID, passport or birth certificate,

    A divorce certificate or final decree of divorce must be provided to HR shortly after

    divorce and before an ex-spouse can be removed from the employee beneficiary list.

    Passport in cases of foreign nationals,

    Notarially certified by relevant embassy IDs in case of foreign nationals not resident

    in South Africa,

    Court appointed documents in case of adopted children, or legal guardians,

    Completed registration from to be completed and submitted along with the

    documents stated above.

    1.2 Family and friends

    A completed form given to Human Resources, and an identity document or passport of

    the non-dependant family member or friend.

    1.3 Registered Travel Companion and RTC Children

    A completed form stating the exact relation to the employee and the registered

    companion (and for each of the Registered Travel Companion children ) date of birth

    and SA ID number, or passport number and passport type if not South African, birth

    certificate if a child.

    7. DOCUMENT CONTROL

    7.1 This policy, including the maintenance of version control is the responsibility of the

    HR Services Department.

    7.2 Change / Amendments to the policy are to be referred to the GM: HR for acceptance
